How to Check-in Visitors at the Entrance to the Event?

The visitor check-in process is often a thorn in the side of any organizer. Do we have enough capacity for check-in? Will the check-in system work? What if too many visitors arrive at once? Will our devices read the QR codes correctly? But we do have one piece of good news. If you’re selling tickets with us, questions like these won’t wake you up from your dreams at night anymore. And what if you don’t sell with us? Then we have just one piece of advice: It’s time to change that.

So how do you check the tickets? Download our check-in app!

Using our check-in app is the easiest way for you. It can be found in both the AppStore for iOS devices and Google Play for Android devices. The app can be downloaded to any number of mobile phones and is completely free to use. Any of the organizers will thus be able to turn their phone into a reader that can check in visitors at the entrance with similar ease after entering their access code. In addition, in the event of a large visitor influx, check-in capacity can be increased simply by using another mobile phone, thus speeding up the wait for check-in. 

How to check-in visitors by using the mobile app? 

We’ve put together a guide on how to do that: 

  • Download the app
    In your Organizer Workspace, click on “Manage Check-In” where you will find a link to download the app. We recommend installing the app on the day of the event, or the day before, so you have the latest version. 
  • Generate the code
    Generate a check-in code in Workspace, one is enough for all the devices.
  • Set up your device
    Once the app is running, enter the name of who will be handling the check-in. Enter the one-time code you generated in the previous step and give the app time to sync your database. (Internet connection required)
  • Get to know the app
    On the main screen, you will see all the necessary data: the event name, date, time and address, as well as an indicator of the number of tickets checked before the slash and the total number of tickets sold after the slash, in green the number of attendees inside and in red the number of attendees who have already left the venue. 
  • Scan tickets
    Click the “Start Scanning” button to open the camera to scan the QR code on the tickets. If the code cannot be scanned, the ticket code can be entered manually. If the ticket is invalid, the reason will appear on the screen.

Voilà and you are ready to check-in your visitors.

Application not working as it should? One of the options listed below could solve the problem:

  • Exit/close the app and reopen it. 
  • Make sure you have enabled the application to synchronize with the online database.
  • Click on “Load new event”. 
  • Uninstall the application and reinstall it.
